Smart Metadata Update - June 2025

What's new?

We are excited to announce an update to our iWorkplace app, Smart Metadata.

Change to the way Smart Metadata performs its updates

  • Due to Microsoft dropping support for Event Receivers and moving to a Webhook based architecture.
  • This means that instead of sending us immediate notifications of every change in a library, SharePoint now sends a general “something has changed” notification at a frequency no greater than once a minute.
  • This is generally considered the best way to manage performance and reliability in a distributed environment, but it comes with the side effect that it may take several minutes for Smart Metadata to be notified of changes in a library.

    Therefore, it may take several minutes for metadata to be updated, or subfolders to be created, when a folder is created or modified.

Improved user interface of the settings page

  • The user experience has been revamped – the user interface has been modernised and redesigned to be more understandable.
  • The functionality remains the same, but the settings pane has been updated to follow a rules-based concept for folder levels. This is to provide clarity in the functionality and allow for future enhancements opportunities.
  • Folder level rules:
    • Set metadata to the folder name: This is currently a forced rule, and it will be auto created when you create a new folder level.
    • Create Folders: Previously “Create Subfolders” was a tick box on the set to folder name rule. This has been updated to “Create Folders” and can now be added as a rule to the folder level.
    • Set metadata to specific text: Previous known as “Set Value” - We have changed this to align with core smart metadata functionality and be less hidden in the UI.

What do you need to do?

In the event a rollback is required, we will return Smart Metadata the previous version and let you know.
